Explain the purpose of the following project document.
A)

Gantt chart:

A Gantt chart gives information about the activities that make up a
project on a horizontal bar chart. The project activities are list in
sequential order with the horizontal bars representing the time
required to complete each activity. The chart is a graphic
representation of the relationship between project activities and time.
When your Gantt chart is complete, It can be seen:

The minimum total time required for each activity and the entire
project

The correct sequence of activities

Activities that can be done at the same time

Slack time (shown with dotted lines) that occurs when no
activities are being performed
B) Action plan:
Is a formal document that guides the execution and control the
project and outlines how the project objectives will be achieved by
listing the major tasks, resource required and time frames required for
each project activity. Action plan is established at the beginning of
project to plan for progress, work, cost, method of management. It
makes the achievement of the project’s objectives and ensures all
aspects and activities required to implement the project are covered.


C)

Budget forecast:


It will provide an overview of the allocation of funds or the estimation
of cost for the project (salaries, outsourcing costs, research fees, use of
materials, hire of equipment and administrative support). This will help
in the management of spending & saving money.
D)

Progress report:

Regular progress reports should be prepared and should outline:

Decisions reached and make by the project team

Activities and tasks accomplished

Milestones reached

Work still to be done

Any issues or problems that have arisen and need to be addressed
Progress reports are useful for explaining the status of the project as it
currently stands and its future direction. They also put the project’s
progress into the context of where it stands compared to its original
scope and objective because they holistically assess the overall project.

Project monitoring tool:

Helps to maintain an overview of the project . Monitoring tools
will keep you up to date on the status of the project and enable the
project manager to know it and when corrective action is needed
methods include:




Checklists
Control charts
Milestones charts
