1.Problem Definition 5
Our clients Marvell Consultancies ltd., is a Recruitment (consultancy) Agency firm
that bridges the gap between the Job providers and the job seekers. It maintains the
details of both, the job providers and the seekers and act accordingly as per their
requirements. Due to the rapid increase of IT Companies, etc… and as well the seekers,
the demand for the consultancies has been increased, as they are one of the sources for
recruitment. So in order to maintain and retain the customers and clients, it want an
application to be developed which meets the requirements and increase the comfort level
to both the job seekers and the Providers 5

The firm’s (Marvell Consultancies Ltd.) main work is to accumulate the records of
the vacancies in companies, and maintain the records of the registered candidates with the
firm, as well they search in some of the job sites for the candidates who meet the profile
of the vacancies that are needed to be filled, so that they can reach up to a maximum
number of people and they on behalf of the company (client) conduct part of the
recruitment process, and then forward the candidate profile who is through their


recruitment process to their client for further process of the recruitment. They also need
to maintain the list of the candidates who have come for the interview and of those who
are through the recruitment process and are guided to attend for further rounds of
interview at the client’s office, for easy reference 5
After a candidate who was sent through the firm gets selected and join their company, the
company (client) will pay as per their contract with the firm. They used to calculate the
payments that are received and that are to be received and maintain the list of the
payment company wise, for easy reference 5
They use heavy paper work to store the details of the candidates who register, (along
with the skills, background and experience) those who attended for the interview along
with the result of the interview conducted at the firm, and as well they maintain the
separate records of the companies depending on the priority and vacancies including the
payment 5
It is a tedious job to regularly update the details of the vacancies as they keep on
changing, as it includes searching the details of the company as it is maintained in files
(as some of the companies consider other consultancies also and they themselves also
recruit by giving advertisement in the newspapers, some of the jobsites, etc…), so they
need to regularly check with the clients and update the details based on which the
recruitment takes place 6
If the Candidate is through with the whole interview process and joined the
company, then the client’s pay money to the firm for the service provided as per their
contract like if 1 – 30 candidates are hired they are provided with 5% of the candidates
salary per each candidate, and for 30 – 100 candidates the firm is paid 8% of the
candidate’s salary per each candidate, and for 100 – 250 the firm will be paid 10% per
each candidate as per their salary, and for 250 – 500 they will be paid 15% and for 500
and above it will be 20% of the candidate’s salary per head. Also the payment depends on
the relationship of the client with the firm and as well with the number of jobseekers
recruited and they are taken in to their company (Client’s) 6

vacancies, which are to be updated regularly as they keep on changing from time to time.

When they open a profile of a candidate they should be able to know his qualification,
experience, and as well the contact information as they need to be contact when ever
his/her profile is matching with the required profile for a job vacancy to come to the
office for attending the interview. First few rounds like aptitude and technical round tests
are to be conducted and if the candidate is through it he/she will be permitted for the next
rounds of the interview, which is to be conducted by the client alone at their office.
Similarly when a profile of the Client is opened they should no the details of the
company, vacancies, skills required and as well about the location. Also there should be
provision for searching the vacancies from the Client’s module and as well the names of
the Jobseekers based on the skills, Location and Experience 6
They want the system to be in a modular form where Registration of the job seekers
and the client is maintained in modules, which comprises of the contact details and the
personal information of each. And there is a profile module, which holds the information
of the candidate’s experience, skills acquired and location he is willing to apply for.
There should be an option for searching skill wise, experience wise and location wise, so
that the time for retrieving the details is reduced. Another module for the Vacancies
where all the information of the vacancies of the company is gathered along with the
requirements for the positions that is vacant 6
It should include sub-modules like the Details of the clients/customers, requirements
such as skills, location and experience required for a particular job separately in both the
modules like Client and Customers. They should also maintain a sub-module, which
includes who attended for the recruitment and the marks or grade secured in the process,
and the ones who are short listed for the further rounds of the interview are maintained
and the ones who got finally selected by the client in the customer’s module, where as in
the Client’s activity sub-module the details of the job seekers (referred by the firm) who
are hired and that of those who are not hired, for easy reference for the calculation of the

payments, as well to keep track of the customers who were not selected so that they can
refer them to the other companies based on their profile, etc… In the Payments sub-
module, which is to be included in the Clients Module, the details of the previous
payments and that of the current are to be maintained. The payments depend on the
relation ship with the company and as well with the number of seekers hired from the
firm 7
Thus by this system application they want to reduce the paper work and time
consumption and as well they want to make it an easy reference for all the functions of
the firm 7

maintained separately activity wise, it has become easier to calculate the charges and to

1. Problem Definition
1.1. Problem Abstraction
Our clients Marvell Consultancies ltd., is a Recruitment (consultancy) Agency firm
that bridges the gap between the Job providers and the job seekers. It maintains the
details of both, the job providers and the seekers and act accordingly as per their
requirements. Due to the rapid increase of IT Companies, etc… and as well the
seekers, the demand for the consultancies has been increased, as they are one of the

1.2. The Current System

1.3. The Proposed System
They want to incorporate a system application to be developed that maintains the
details of the customers and that of the clients along with the payments, number of
vacancies, which are to be updated regularly as they keep on changing from time to
time. When they open a profile of a candidate they should be able to know his

• Maintaining a single application that holds all the details of the clients and
as well that of the customers in a modular form.
• Maintaining separate records of the details like personal profiles of the client
and that of the customers who had registered with the firm, Requirements
based on the skills, technology, salary, location, Company, Marks, etc… and
as well the payments in sub-modules so as to keep track of the details and as
to make it easy to regularly update the details.

• There should be a search option in both the modules (Client and the customer)
for searching the details based on the requirements like the skills, experience,
etc… so as to reduce the time consumption
• Based on the relation ship with the client and the number of jobseekers hired
from this firm they will be charged.
• Maintaining separate list of the candidates who have attended for the
interview and that of those who are short listed and then sent to the Client’s
office for further rounds of interview and that of those who are being absorbed
by the company

• By providing an option for the updating the data, it has still become easier to
maintain the records, thereby reducing the huge amount of paper work and the
time consumption for searching and updating the details
• There should be an option for Adding, deleting, updating and saving the
records so that the data cannot be loosed.
• Also there is an option for fetching the details of the activities, payments for
any particular period, so that they can regularly keep track of it.
►Financial :
The charges vary depending on the type of relationship with the client and as well the
number of candidates hired. As the details of the candidates and the client’s are
maintained separately activity wise, it has become easier to calculate the charges and
to regularly keep track of the payments. The firm should be able to retrieve the
